Agency Ref* If this field is greyed out then the unique number will be assigned automatically for this agency, otherwise enter a unique number for this agency (this is determined by the food bank administrator). The agency reference number can be used to find the agency in other utilities. However, it is not necessary to memorize this number as agencies can be found by name as well.

Name * Enter the name of the agency. If more than one agency has the same name then make each name unique so that each agency can be selected by name as well as by reference number.

Main Contact Select the name of the primary contact person at the agency. 

Main Address Select the mailing address for the agency. This is the agency’s primary address. If an agency has multiple addresses they can be added using the = hamburger or by clicking on the +.

Agency Status * This field can be set up for your particular food bank for a unique identifier. It is set up by the food bank administrator.

Agency Type * This is an additional way to categorize your agencies. These codes are used within several of the Primarius predefined reports, including the Quarterly Poundage Report. For example, you can have a Type ID of agency, individual, affiliated food bank, cluster member, etc., Distributes to Individuals, Distributes to other Agencies, Mobile Pantry, Kitchen, Distributes to other Affiliates, etc. This field is created in the system element setup. The system element setup has a flag for nonagency/non individual. If you put a check mark for any of the fields they will BE EXCLUDED from the QPR.

Agency Size Select the size of the agency. This is usually determined by the number of people or households the agency serves.

Agency Pantry Size Select the size of the agency’s pantry, if applicable. This is usually determined by the number of people or households the agency serves. This is used with the agency limits feature. Usually an agency is a pantry or a site but not both, however there can be exceptions. If you set both of these fields to a size and then set a limit, the agency can order the max quantity for both.

Agency Site Size Select the size of the agency’s on site service. This is usually determined by the number of people or households that the agency serves. This can be used when setting agency limits.

Agency Group Select a group as an additional way to sort your agencies. For example, an agency can be a food bank, shelter, pantry, etc.

Agency Activity This field is another that can be used to group your agencies. An example could be used for your programs/ NAR report such as Faith Based, Boys & Girls Club, etc.

City This field is used for reporting purposes so ensure you have the correct city entered.

County * This field is used for reporting purposes so ensure you have the correct county information entered.

Carrier Route Enter the carrier route number that is used to presort large bulk mailings to get a discounted postage rate.

Locale Serviced Enter the locale that the agency provides services within. Use this field if the agency's service range is not define by either city or county. This is for information purposes only.

Order Comments Enter additional information here. For example, type delivery directions. Comments entered here will appear in the Notes field in Order Entry for all orders you place for this agency only. These comments are defaults only; they can be overridden or removed after a new order is created.
