Process Description:
User Defined Groups allow the food bank to obtain additional information from its agencies. For example, the food bank wants to know how many trucks an agency has, it can create a UDF (User Defined Field) and require the agency to complete the request before creating an order. Other examples could be the food bank wants to know the average # of weekly volunteers or wants to track their agency tax certificates. When creating the UDF there is a box to check to allow for multiple submissions. You wouldn't require an agency to tell you how many trucks it has every time it logs on to PWW but you might want to know the # of weekly volunteers so you'd check for Allow Multiple Entries.
Process:
EDIT/VIEW
Locate the group and click Edit. If any changes are made click Save and a message displays The record was saved successfully.
ADD NEW GROUP
To add a new group click +Add User Defined Group and a new page opens. Adding a new group is a 2 step process; first complete the group tab and click Save a message displays The record was saved successfully. The fields tab will automatically open, complete all required fields and click Save, a message displays The record was saved successfully. The group added will appear at the bottom of the screen.
Definitions:
GROUP TAB
Name Type in a name for the group.
Related System Element Select the element type with which to associate this user defined field group (vendor, donor, product, solicitor, etc).
Display Order The number entered here will control the order in which the groups are displayed for entry.
Allow Multiple Entries Check to allow the user define group to be submitted multiple times for one entity.
Add Group on Element Creation Check to only display the user defined fields as part of the entity form when adding a new record.
Collect Via Portal Check to allow the user defined data to be submitted from another portal such as Web Window.
FIELDS TAB
Reference Code Enter a unique reference code.
Field Label Enter how the form label will appear.
Data Type Select the type of data that will be used (digits, money, date, email, etc.).
Max Length Enter the max length allowed for the text field.
Display Order The number entered will control the order in which the fields are displayed for entry.
Is Required Check if the agency is required to complete the UDF request.
